Hi, everyone, and welcome to today's webinar, reclaim your focus with Breathe with me, Dana. Firstly, I just wanna thank you all for taking the time out of, I'm sure, your very busy schedules to learn a little bit more about the system and the fantastic benefits you can receive using Breathe. Today's webinar, we're gonna showcase all of Breathe's benefits and features, and it's gonna be the perfect place for people who are either just discovering Breathe or if you've even got a fourteen free day a free fourteen day trial with us already. So the webinar is gonna be a great place to start your journey. Now, we do get started, I just wanted to let you know that I do have some colleagues sitting on this call with us. There should be a q and a box, I think, just below my face. So any questions that you have throughout the webinar, please just pop them down. My colleagues will answer them. And what we'll do is we'll also take a break halfway through the webinar and just to give everyone a chance to also write these questions. I know sometimes it's hard listening, watching and writing questions, so the break will hopefully give some people a chance if you didn't get to in between. And we'll also have a break at the end as well. So you can pop these down throughout the webinar, that is fine, but we will have these breaks if that's more helpful too. So without further ado, let's get started. So today's session, we're gonna be covering your HR challenges, features and benefits, and also what makes us a bit different. We'll then be taking a tour of Breathe, looking at some of our success stories, and then data security and pricing. There are a couple of other hidden gems in here as well, so watch out. Now, before we get started, I always like to throw a poll out just asking people how they're currently managing employee admin. So I'm gonna set that live now. So we have a few options on here. We've got spreadsheets, paperwork, nothing in place, another software. Spreadsheets tends to be the winner. So we'll see what we get today. I will leave it on there for a few more seconds. You can see the pipe through and I have a feeling Spreadsheets is also going to win today. Give it a couple more seconds before we leave. Okay. Yeah. Yeah, I thought so. Spreadsheets is gonna be the winner, it intends to be. Breathe covers a whole wide range of industries such as hospitality, construction, IT, law, healthcare and all of these industries will use at least one of these options. So as we mentioned, whether that is spreadsheets, paperwork, that's software or nothing in place. And while these tools may seem familiar, they can lead to unnecessary complications. So using spreadsheets can take a lot of your time out of your day, bringing you away from maybe more important work. If you're paper based, not only does this require physical handling, storage and retrieval, it's just really time consuming. Having nothing in place can make your organization really quickly disorganized and your data difficult to locate and utilize. And while some software for HR is a start, using multiple softwares that don't necessarily work together or talk together has its own issues, things like inconsistencies as well as lead to employee frustration. So how can help? So this is the part where we're gonna start jumping into the demo section Breathe. We'll go through all of the core HR features first, and then we will touch on add ons. We'll make that really clear for you though. And the first one we're gonna touch on today is managing holiday and absences. So with Breathe, managing holiday and absences will really be as easy as a click of a button. You'll hopefully have no more WhatsApp texts, lost pieces of paper, trying to work out who's on holiday or not via a spreadsheet, And the employees will also have real time visibility of the calendar, so they'll be able to self serve, taking some of that pressure off, and giving some responsibility of ownership when it comes to checking who is already off in their team. With our mobile app, it's going to really make it handy for those employees to do that all on the go. We'll also have detailed reports making it really easy to see what holiday a person has left, what's been taken and lots more, but we'll touch on the reports in a moment. So what we're gonna do is we're gonna jump straight into that demo portion now, featuring the holiday and absence. So from the mobile app, employees can easily view their leave and what they have available. They can make a request by simply clicking add leave, filling in the form such as the dates, and adding any notes if they choose to. This is where they can also request other leave, which isn't necessarily deducted from their allowance, but goes through the approval process. And once they're happy, click create leave and that is sent off. From there, their approver can then log in to Breathe and view the request made. They'll be able to see a snapshot view of the calendar, make sure no one else is off or that it's not gonna be too bleak, and that there is some cover and then simply approve or reject it. So once this has been approved or rejected, the employee will get an email notifying them and then it will go straight into the calendar where everyone will be able to filter by their departments, divisions, or locations. Just means that they can filter it down for a quick and easy view if you've got a few more people in the business. And you can also sync the calendar to things like your Outlook or Google by copying the URL link for a real seamless view. So that was the holiday and absence part. Now let's talk about document storage. So with Breathe, you'll have unlimited document storage, meaning no more filing cabinets, lost pieces of paper, or hopefully wasting wasting who's that time hunting down those documents. We also have things like esignatures that you can send and sign store offer letters within minutes, and company documents where you'll be able to see who has and hasn't read a document, which is the perfect feature in line with GDPR. And hopefully, that knowing our databases are based in The UK and follow all UK regulations, you can rest assured that your files are safe with us. Like last time, we'll jump straight into the demo now. So with the document section, adding in a document is really easy. Simply click the plus button, check if it needs to be, signed or not, and then you'll attach the document. So you'll add in the title and upload the document. Click save. Now this one needed a signature, so from here, I'm gonna drag and drop where I want the name, signature, and date to be placed. And once you're happy, click send. You'll check it over. The employee will get an email to say that there is a document to be signed, log in, and they'll click sign. So from here, they'll check it over as usual and go to click sign where they could either draw or type their signature and click save. For company documents such as handbooks or policies and procedures, again, fill out the form, so title of the document. You then have the option to see who have access to this. So it might actually be for specific departments or live managers, and then you can set if read required is necessary and a read by date as well. Click send. Now once you're done, you're gonna be able to see who has and hasn't read a document and send out those read reminders accordingly as well. So next up is reports. So we have over 40 different types of reports within Breathe, but it's gonna be able to interpret your data in a way that lets you understand it. So these reports will provide real time analysis, giving you opportunity to make quick decisions and dive deep into your HR. These reports can help you make sense of your HR information and just make sure that actions are data driven. Let's jump into that demo. So as I've mentioned, we do have over 40 different types of reports that can be used. With our regular plan size and above, we also have the burnout monitor, so you can see who's close to burnout and send reminders to take holiday. But we also have the demographics report on all of our plan sizes. So each of our reports you can go into, you'll be able to see the reports there and also filter it down if you need to by specific filters. And all of our reports will have the option to be downloaded into an Excel spreadsheet if that's easier for you. The report's really quick and simple. There's no faff with this. You can just get the information that you need really quick and easy. So the last bit of the core HR before we jump onto the add ons is going to be our performance management. So with our performance management, you're gonna be able to track that performance with things like one to ones, objectives, and deliverables. You'll be able to schedule these and record all the training. So let's jump into the last call demo. So our performance tool is really simple. You'll head to their profile and performance, and you'll start with adding in a one to one. As always, fill out the details where you can think adding things like the time, reviewer, and location, and you can also set this up as recurring by selecting the frequency. So if you know it's every four months, two weeks, however often, pop your until date and that's all done for you. We then have our objectives. So again, click the plus, add in the title. You can add in things like descriptions, set your due dates, and even link it to a company goal and one to one. Additionally, once you've created the objective, once you've added it in, employees can go in there and update things like score and the progression of this as well. And there's also a comment section and a document section for everyone to have access to make sure progress is happening with that objective. Then lastly is our deliverables. Really quick and easy, add in the title and description, you can link it to an objective, set due dates and once you're happy, click create. Once it's created, they can be checked off as of when they've happened. So this is just a way to essentially create tasks to make sure that your objective is underway. So that's everything that's gonna be included in our core HR. What I mean by this is these are the big features. So there's are there are lots of other little bits and bobs within this, so things like the organization chart, the directory for a starter and above, you've got time logs. But in terms of core features, this is what's included. And now we're gonna jump onto our add ons. I am just gonna take a quick sip of water. Hopefully, everyone has a cup of tea or a cup of coffee with them as well before we dive in. So our add ons. So as you can see here, we have five. We've got health and safety, learn, recruitment, expenses, brochure time and attendance. With our add ons, what this means is that you can tailor the plans to suit the need of your organization, meaning that you have everything in one app and easily accessed by your employees. So as we've mentioned before, some of the problems that people have with having multiple multiple softwares is that you have five different logins, five different places for the information to get if you need to audit, whereas with this you have it all in one and can tailor what you need. I believe the first one we're going to touch on is health and safety. So with health and safety, instead of having paper forms, shared folders, after day out of date risk assessments, you can now manage health and safety alongside HR in one clear module. And with your people data and safety activity all in one place, like I mentioned, there's no additional tools or logins. Just like the other ones, we're gonna jump straight into that demo. So at the center is your health and safety dashboard. This would give you real time view of what's happening, incidences, your five by five risk matrix, overdue tasks, upcoming reviews, completed learning, and safety roles. You then have the incidents, log, which gives you complete digital digital record, of new misses and you can log who was involved, add photos, track actions, and use a simple one to five severity scale. With risk assessments, you can create and store risk assessments in one place, log hazards, add control measures, set review reminders, and instantly see how risk is spread across your organization with that risk matrix. And then we've got tasks, assign tasks, set priorities, link them to risk assessments, and get reminders when they're due. Really nice and simple. And with the document management, you can share safety documents, assign them to employees, and track acknowledgment as well. And lastly, with this, we have our roles. So you'll be able to see, roles like fire warden, first aiders across locations, and get reminders before certifications expire. That was a lot to go through. Okay. So that was the health and safety. Now, I will carry on with the rest, but I do just want to remind you, this is all free to try in your trial. If you think that I'm going a bit quick or you didn't see anything, you will be sent a recording of this, but you can have access to this in your trial. The trial will give you access to everything. I will touch on this at the end, but it just means that if you want to dive in a little bit deeper to any of these add ons or any of the core bits, you can. You don't just have to take my word for it, you will have access to all of this as well. Next one is going to be Learn. Learn is going to help you stay ahead without the stress. It's going to support business compliance and employee development, again, all in that one place. So yeah, you're going make sure that you're covered, with your team's development and the skills they need, as well as things like GDPR, sexual harassment prevention, and all those things that need to be mandatory. As always, let's jump right into that demo. So the Learn module has over a 100 plus courses across eight categories, including things like HR and compliance, health and safety, leadership and development, and lots more. You're going to be able to see who has started a course and who's yet to complete it, as well as send out reminders for those people who haven't quite finished it yet. And you're gonna be able to bulk assign. So what you can do is click all the courses you want and bulk assign these. We can actually create playlists now as well, which is quite handy. But you're gonna be able to say when you need it completed by, does it have a certificate and a completion date and assign them over. Now all of these courses are gonna be, interactive slides with a quiz at the end with a pass or fail. So in your trial, if you click the I, you're going to be able to test these all out. It just means that you can make sure you're happy with these courses and decide whether it's something you want to move ahead with, so you're not going in blind. So you have a list of all the courses that you'll have access to. Employees will be able to self discover and enrol to other courses if you've allowed them to, so things like leadership, personal development and professional learning. They'll be able to build up soft skills if they choose to as well. Online learning, they'll have all of their categories, they'll be able to see there and then they can self assign if they choose to. Again, you can decide what they'll have access to. If some aren't relevant to them, there's a 100 plus courses, I'm sure some might not be, you can choose what's showing and what's not. So let's touch on our Roto Time and Attendance add on now. So Roto Time and Attendance is going to allow you to create shifts and templates, clock in and out, produce time sheets and schedule reports. Now there's lots of different ways that you can set this up. So you can set this up with things like geo fencing or tracking. Maybe you only want people to log time sheets or maybe you only need it to schedule shifts. So whilst you'll get everything from your shift creation, clock in, clock out, time sheet and reports, you don't have to use all four. Some people just want people to clock in and clock out for time sheet reasons, they don't need a shift and others want the full thing. That's fine. You can pick and choose how it's used. This is you'll get everything with it. So let's dive right in. So creating a shift really is gonna be really simple and easy. So you'll go on the day and make sure you're on the right person. You'll type in the shift time. From there, you can drag and drop, you can copy it, paste, you can move it along, whatever it is you need to do for it for quick scheduling. It'll also show you who's on holiday or off sick. And once you're happy with what you've got for this week, you can then share the router. Now you don't have to do it week by week. You can do it as far in advance as you choose to as well. This is just for the example. And once you have shared it, they'll be able to head to the mobile app where they view their shift, clock in if you need them to clock in, and then vice versa to clock off. Once they have clocked off, this is where a timesheet is created. So managers can view their timesheets, and if you've set up approval, they'll be able to approve timesheets for easy reporting as well. Now, I will always say rota time and attendance, there is so much you can do with this. So there is a rota time attendance demo that I've created that goes fully into what this can do, how to set this up, and it should be linked on the side. I think it's that side, one of the sides here. It will tell you exactly how to set it up, what it can do with all of its features. This was a very brief overview. If you are interested in knowing more, either watch that video or as always, can book in a quote with us. Next up is expenses. Expenses, you can quickly and on the go, add in their expenses and it will go straight to their live manager for approval. It's really quick and easy and super, super simple. So let's have a look. So with expenses, employees can quickly and on the go adding their expenses, whether that's gonna be for travel, mileage calculation or more, and these alongside with any receipts and invoices that can be uploaded straight to their line manager for approval. So they could do this on their mobile phone. They can also do this on a desktop. Don't worry, they don't have to do this on their phone, same with everything else and we are web optimized, but they will have the option to do this. They can take a receipt, upload it. So happy, send that off. Once that's been sent, your expense approver can then, review the expense in detail and either approve or reject it. Once that's gone through, they'll be able to also mark it back as paid once it's been done. This is where they'll be able to see the request comes through, so they'll click view, they'll view the expense, they can view the receipt, it's been attached, once they're happy, they'll approve it. Like I said, once it's also been paid, they'll be able to mark it back as paid, just massively takes it off their list so they can see what's submitted, approved and what's been paid back. Lastly, we are on our last add on before we have a break. Don't worry. So the last one is recruitment. I know I've just dumped a load of data at you and information, so we will take a break in a moment. Just bear with me. We're nearly there. The last one is recruitment. So recruitment is where you can create your vacancies. You're gonna be able to share the URL link in places such as your own website, LinkedIn, Facebook, wherever it is you wanna put it. People will then be able to start to apply to your vacancy. They can upload their cover letter and CV, and you're gonna be able to manage the whole process from Breathe. So here is our last demo. So from here, you're gonna click on recruitment and go to all vacancies or open vacancies and click plus. As always, fill out the form. So job title, location, pay. You'll then have the option to add in descriptions if you choose to. Hopefully you do. People like to know what they're applying for. And we do also have the option to adding screening questions. I don't think this is, on this demo here, we do have that option. So if you need people to pre say that they have a DBS or driving license, you can get these screening questions added in. And this is the description box where you can add in the bits about the job. So once you're happy, create it. We can click into the job itself. So you've got all the information here. And once you're happy, get that URL code. So that's where you can then post wherever you'd like or embed it. And once they click onto that and they start filling out their details, you're gonna be able to see in your vacancy all of your applicants. So you're gonna be able to see the screening question and answers, their documents that they've attached, and then you can invite them to interviews and then either hire or decline them. Let's take a quick break. Again, I know I've just thrown a load of information at you. If you didn't have a chance to ask questions throughout, now is going to be your chance. You will also have one at the end, but whilst it's fresh in your memory, I hate having to wait till the very end to ask because I forget what I want to ask. So I'm going to take a quick sip of water. I'm actually going go through just a couple of questions myself just so we can kind of take that break if people need it and then we'll jump into the second half. I'm also noticing that the light's being very different. I apologize, That's the sun for you. It keeps coming and going. If it looks quite funny, sorry about that. Okay. So let's have a look. First question, can we bulk upload training? Great question. So in the core HR, not in the learn add on, there is a training section. Everyone will have this in their profile, so this is where they can record training that has happened externally. Set up expiry dates, remind emails. So let's just say everyone has done a health and safety course or a first aid course. Yes. You can upload that in bulk. So you'll upload it once, you'll assign it to all the people that have done it and completed it, And then from there, they can then maybe go in and attach certificates or adjust expiry dates if they all did it in the same week but the dates are a little bit different. But yeah, absolutely. If someone leaves, do they count towards my numbers? Good question. So, which we'll touch on in the at the end about pricing is the the plan sizes. That's only for active users. So, yeah, if someone's left the organization and you mark them as left, the profile is archived, it's not deleted, they won't have access, but they won't count towards your numbers. It's only active current members who will, who will have access. I'll do one more before we jump on. How long will it take me to set up? Good question. Always a hard one to answer because I think it depends on company size, how much documents you have. I will always say to get the bare bones of brief setup. Now what I mean by that is people can book holiday, they have a profile, they can do the minimum, a few hour a couple of hours to a few hours depending on your business size. Everything after that, so things like how many documents you have, how much you want to do for your employee rather than them getting to do it, that's where it can take a little bit longer. But the bare bones is gonna be really quick and easy. You can even do it in your trial if you want to. Let's jump into the next half. Oh, I say half, it's not going be as long as the first bit, I promise you, but the important bits. So the first one is why is Breathe different? So Breathe is set up was set up thirteen years ago, and we're dedicated HR platform that's solely towards SMEs to help with their HR. Your data's all held in The UK. We're fully UK compliant. What that means is if something changes in The UK, so take flexible working requests recently that happened, we made that change in the system or the additional bank holidays we've got, which I wish hopefully there's gonna be more to come, but the additional bank holidays we've got, we can make those changes because we are fully UK based. Breathe can be used anywhere in the world, that is what we focus on. And there's so many other reasons. I mean, we're trusted by over 16,000 other businesses. There's no contracts or tie ins, but you can find more of this information out on our website. So security and data. I know this is probably really important to most of you, so I did want to talk about it today. You can find more information on our website, but we are ISO 27,001 accredited. Again, you can find the full information and certificate on our website, fully GDPR compliant and we have our information security summary available to download. And we also have the two factor authenticator. If you choose to, it's just gonna add an additional layer of security to your user's Breathe account. And I know I've mentioned this a few times, but, yeah, all of your data is housed and stored in The UK. It does not leave The UK. The main center's in London and the backup, I don't think it's in London, but it's somewhere in The UK. And new updates and features. So at Breathe, we are constantly improving and updating our platform, and I'm do not joke when I say that we read every single piece of feedback that our trials and customers give. So please ensure that you are giving feedback when you can and if you want to. It just means that we can understand where we kind of push the product forward. I just wanted to shout out about few features that we have added. Again, I know I've touched on e signatures. Something I didn't show you is workflows. Great for onboarding, offboarding, someone getting promoted so so you could automate tasks and assign custom workflows. And we've also got single sign on. Some people, want that, some people don't, that is fine, but single sign in again, another bit of feedback that we received from customers. So we worked on it and we've delivered it. New features, can find on your account whether again that's trial or not, on that left hand navigation under help, submit an idea, you'll be able to submit your idea, view what's in progress and upcoming, what's kind of in discovery and also what's just been released so you're always up to date. And quickly, just to touch on our marketplace. So this is where we have our integrations to help you stay connected. So things that maybe we don't provide, so things like Xero Payroll, Harriet, AI, Pleo expenses. We do have expenses, but some people need a little bit more, from their expense management system. So This is, our marketplace. We do have more features on here. Things like Xero, for example, payslips can go straight into their Breathe account, you can export your pay runs. If So you want a bit more information, just let us know. Happy to talk through it. So what do our customers think? I'm sure this is the page that everyone was just hoping to get to at some point. Let's talk about it. We're completely open with our pricing and we're honest about this. So firstly, there's no contracts, there's no cancellation fee, there's no cancellation period. Whatever you subscribe to is what you will pay. Now you can change this. So if you are a micro now but you want to jump up to, a starter in a year or whenever because you've grown, you can do that anytime and vice versa jumping down. Know, God forbid if something happens where you have to lay people off or something, maybe you have part timers in the summer but quieter in the winter, you can shop and change, which is really handy. They're flexible. We charge per plan size rather than per user. It just also means there's a lot more flexibility around pricing. You're not having to think about cost implications for each person that you hire. I've outlined here the monthly and the annual. There is a built in 15% discount on the annual plans here as well. And don't worry, the next page, which I'll go to now, we'll talk about the add ons. The add ons are priced per plan size as well. Here you can see you've got Micro Starter, Regular Pro. Just to confirm, these prices are also not per person. If you want a Micro for Learn, it's £15 for all 10 users to have access to that 100 plus courses. So you'll be able to have a look all on there too. This is on our website. This is in your trial too if you need to, but I wanted to share them here. Lastly, some next steps. All you need is a name and an email. There's no commitment to this.
